This Privacy Notice explains how PHD Media LLC ("PHD", "we", "us" or "our") processes personal information when authorised dealer, Volkswagen corporate and Omnicom personnel access and use the Product Consideration Offer Tool (the "Site", or “PCOT”). The Site is a restricted, client-facing environment used to make approved Volkswagen assets and related materials available to authorised users.
This notice applies only to personal data processed in connection with access to, administration of, and security of the Site. It does not describe unrelated processing carried out under dealer agreements, employment arrangements, marketing programmes or other websites and services.
The Site is intended only for authorised Volkswagen dealer personnel, Volkswagen corporate users and authorised Omnicom personnel. Access is protected by firewall and login controls. Dealer and Volkswagen corporate users authenticate through Volkswagen-managed OAuth single sign-on (SSO). Omnicom employees authenticate through an Okta application with multi-factor authentication (MFA). Users must not share credentials or permit unauthorised access.
We process limited categories of personal information in connection with the Site. These include name and business email address. Volkswagen IT provisions dealer accounts. Email addresses are used as the unique identifier for users authenticating to the application through SSO, and names are used to identify users in content-update history. We may also process technical and security information generated through authentication, hosting and access controls, such as authentication events, token/session information, IP address, timestamps and security or application logs, to the extent generated by the final configuration. Acceptance records may also be retained where users confirm the Dealer Terms of Access.
The Site is not intended to collect special-category data, payment information, recruitment information, marketing preferences or behavioural profiles.
Account information is provisioned by Volkswagen IT for dealer users and may also be supplied through the applicable Volkswagen or Omnicom identity-management systems. Dealer and Volkswagen corporate users authenticate through Volkswagen-managed OAuth SSO. Omnicom employees authenticate through Okta with MFA. Technical and security information may be generated automatically when a user connects to, authenticates with or uses the Site.
We use personal information only as reasonably necessary to: provision and administer authorised access; authenticate users through the applicable Volkswagen or Omnicom SSO environment; use email addresses as unique user identifiers; display user names in content-update history; protect the Site, assets and systems from unauthorised use, misuse or security incidents; maintain operational and security logs where generated; troubleshoot technical issues; administer and evidence acceptance of the Dealer Terms of Access; comply with applicable legal obligations; and establish, exercise or defend legal rights.
Where applicable, these activities may be carried out on the basis that they are necessary for performance of contractual arrangements, compliance with legal obligations, and/or legitimate interests in securely operating a restricted business portal and protecting confidential assets.
The application itself uses one strictly necessary cookie to track authentication token expiration and support secure authenticated access. The Site does not use analytics, advertising or profiling cookies or tags. Because this cookie is required for the Site to operate securely, no analytics or advertising cookie-consent flow is used.
We may share limited personal information with Volkswagen, relevant PHD/Omnicom entities, the user’s dealer organisation where appropriate, and service providers that host, secure, administer or support the Site, in each case only where needed for the purposes described above. Volkswagen manages dealer/corporate SSO authentication, and Omnicom manages employee authentication through Okta. The Site is hosted on Omnicom’s AWS environment. We may also disclose personal information where required by law or where necessary to protect legal rights or the security of the Site.
The Site is currently intended only for users in U.S. states and territories and is hosted on Omnicom’s AWS environment.
Data retention is governed in accordance with legal and contractual obligations. Specific retention periods are listed below. For any questions/issues regarding data retention, email the PCOT support team at PCOTSupport@teamomnicom.com.

We use organisational and technical measures designed to protect personal information and the Site against unauthorised access, use, alteration, disclosure or loss. The Site is hosted on Omnicom’s AWS environment and protected by firewall and login controls. Dealer and Volkswagen corporate users authenticate through Volkswagen-managed OAuth SSO, while Omnicom employees authenticate through Okta with MFA.
Depending on applicable law, individuals may have rights in relation to their personal data, including rights of access, correction, deletion, restriction, objection and, where relevant, data portability or withdrawal of consent. These rights may be subject to legal conditions and exceptions.
Questions about this Privacy Notice, privacy requests, compromised credentials or suspected unauthorised access should initially be directed to the support team at PCOTSupport@teamomnicom.com, who will route issues to the appropriate Volkswagen or Omnicom SSO owner as necessary.

Essential authentication cookie
The application uses one strictly necessary cookie to track authentication token expiration and maintain secure access. No analytics, advertising or profiling cookies or tags are used. Because the cookie is necessary for the Site to operate securely, it cannot be switched off through a cookie preference tool without affecting access.
